Terms of Service
Last updated: 10th April 2026
When we say "Company", "we", "our", or "us" in this document, we're referring to Double Three Digital Limited (SC778686), a company registered in Scotland. Our registered office is at 58 Thistledown Drive, Cambuslang, Glasgow, G72 6AH.
When we say "Services", we mean ClearingHouse and any related services available at clearinghouse.app.
When we say "you" or "your", we mean you — the person or organisation using our Services.
By using ClearingHouse, you agree to these terms. If you don't agree, please don't use the Services.
Account Terms
- You are responsible for maintaining the security of your account. We recommend enabling two-factor authentication.
- You are responsible for all activity that occurs under your account.
- You must be at least 18 years old to use the Services.
- You must provide accurate and complete information when creating an account.
- You may not use the Services for any illegal purpose or to violate any laws in your jurisdiction.
Billing and Payment
- ClearingHouse offers a 14-day free trial. A valid payment method is required to start your trial. You won't be charged until the trial ends.
- After your trial, you need to enter a valid payment method to continue using the Services. If you don't, your account will be suspended and syncing will stop.
- Paid plans are billed in advance on a recurring basis (monthly or yearly), depending on the plan you choose. Prices are listed at clearinghouse.app/pricing.
- Your subscription renews automatically at the end of each billing cycle. You can cancel auto-renewal at any time from your account settings — cancellation takes effect at the end of your current billing cycle.
- All fees are non-refundable, except where required by law.
Price Changes
We may change our pricing from time to time. If we change pricing for your plan, we will give you at least 30 days' notice by email before the change takes effect. If you don't agree with the new pricing, you can cancel your subscription before the change takes effect.
Suspended Accounts
If your payment fails or your account is otherwise suspended, syncing and importing will stop. No data will be processed on your behalf while your account is suspended.
If your account remains suspended for 60 days, we reserve the right to delete your account and its associated data.
Accuracy and Content
ClearingHouse syncs data from your payment processor to your accounting software. We do our best to ensure accuracy, but we are not responsible for errors, inaccuracies, or omissions in the data that is synced to your accounting software. You are responsible for reviewing your accounts and verifying that the data is correct.
From time to time, we may publish articles, guides, and other content related to bookkeeping and accounting. This content is for informational purposes only and does not constitute financial, tax, or accounting advice. You should consult a qualified accountant or financial adviser before making decisions based on anything we publish.
Intellectual Property
We own all rights to ClearingHouse — the code, design, name, logo, and all related materials. You may not copy, modify, or reverse-engineer any part of the Services.
You retain ownership of your data. We claim no intellectual property rights over the data you provide or that is synced through the Services.
Privacy and Data
We take your privacy seriously. Our Privacy Policy explains what data we collect and how we use it. By using the Services, you agree to the terms of our Privacy Policy.
If you are using ClearingHouse on behalf of your clients (for example, as an accountant or bookkeeper), you may be acting as a data controller. Our Data Processing Agreement sets out our obligations as a data processor in that relationship.
Third-Party Services
ClearingHouse connects to third-party services such as payment processors and accounting software. We are not responsible for the availability, accuracy, or policies of those services. Your use of those services is governed by their own terms.
Cancellation and Termination
- You can cancel your subscription at any time from your account settings. You won't be charged again after cancellation, and your access continues until the end of your current billing cycle.
- You can delete your account at any time from your account settings. We will delete your connection information, system mappings, and any stored credentials. Anonymised, aggregated data (such as usage statistics) may be retained. Data already synced to your accounting software and payment processor will remain in those systems — we do not automatically remove it as part of account deletion.
- Backups containing your data may persist for up to 30 days after deletion, after which they are permanently removed.
- Account deletion is permanent and cannot be undone.
-
We may suspend or terminate your account without notice if:
- You breach these terms.
- Your usage places an unreasonable burden on our infrastructure, external API usage, or support resources.
- We are required to do so by law.
Liability
To the extent permitted by law, we are not liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, revenue, data, or business opportunities arising from your use of the Services.
Our total liability to you for any claims arising from or related to the Services is limited to the amount you have paid us in the 12 months preceding the claim.
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law.
Uptime
We make reasonable efforts to keep ClearingHouse available, but we do not guarantee any specific level of uptime or availability. The Services may be temporarily unavailable for scheduled maintenance, updates, or circumstances beyond our control. We will try to give advance notice of planned downtime where possible.
Force Majeure
We are not liable for any failure or delay in performing our obligations where that failure or delay results from events beyond our reasonable control, including but not limited to: outages or changes to third-party services we depend on (such as Stripe or FreeAgent), internet disruptions, natural disasters, pandemics, or government actions.
Disclaimer
The Services are provided "as is" and "as available". We make no warranties, express or implied, regarding the Services, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.
Changes to These Terms
We may update these terms from time to time. If we make significant changes, we'll notify you by email. Continued use of the Services after changes take effect constitutes your acceptance of the updated terms.
Governing Law
These terms are governed by the laws of Scotland. Any disputes will be subject to the exclusive jurisdiction of the Scottish courts.
Severability
If any provision of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect.
